Corporate services
Every Thai juristic person must record a head-office address with the Department of Business Development and must be able to prove a genuine right to use that address. We prepare the address pack, the landlord consent letter, the change-of-address registration, and notarial certification when an overseas bank or counterparty needs a certified set.

Thai law does not define "virtual office" as a category of premises. It is a commercial package in which a provider grants the use of an address, meeting rooms on booking, and mail handling. The risk therefore never sits in the label itself, but in whether that address survives the next authority's inspection.
This page separates three gates that apply different tests: company registration at the DBD, VAT registration at the Revenue Department, and workplace inspection for work permit purposes. Many founders clear the first gate and then stall at the second, because they assume one address satisfies every agency.
We publish no fees here. Scope depends on document volume, the languages involved and whether certification for overseas use is required. Ask our team by phone, LINE or email.

The Revenue Department reviews a VAT application (Form PP.01) against the real place of business. Officers may visit unannounced and look for a visible business sign, a workspace identifiable as the company's, and someone on site who can describe the operation.
A mail-forwarding address alone often does not clear this stage. In practice, choose a package that gives genuine usable space, permits your company signage, and staffs the site during inspections — and keep photographs of the sign and workspace with the application file.
Supporting-document lists and practice vary by area revenue office, so confirm the requirements with the office responsible for your address before filing.
Inspection practice, supporting-document lists and approval discretion differ between area offices and change over time. Confirm current requirements with the responsible authority before signing a long-term agreement with an address provider.

Limitations and variable facts
Inspection practice, supporting-document lists and approval discretion differ between area offices and change over time. Confirm current requirements with the responsible authority before signing a long-term agreement with an address provider.
Can we really register a company at a virtual office address?
Yes, if you hold a consent letter or lease from someone entitled to grant use of the premises, together with the owner's house registration and ID copies. The registrar's focus is the completeness of that proof of right to use.
Can we use a residence as the registered office?
Yes, where the householder consents in writing and the building or estate rules allow business use. Check condominium or housing-estate regulations first, since some prohibit commercial use.
Why did DBD approve us but the VAT application stall?
The tests differ. DBD examines proof of the right to use the address; the Revenue Department examines whether a real place of business exists, looking at signage, workspace and the person available on the day of inspection.
Is a company sign mandatory?
In practice you should install one. VAT place-of-business inspections and work permit applications commonly request photographs of the sign together with the building.
What has to happen when we move offices?
File the amendment registration with the registrar, then update the VAT register, the social security employer record, your bank records and the work permit file, otherwise official notices keep going to the former address.
Can several companies share one registered address?
Yes, and it is normal in serviced buildings. Unusual density can attract scrutiny, so choose a provider that can give you separately identifiable space and signage.
What extra care do foreign-shareholder companies need?
Consider the restrictions in the Foreign Business Act B.E. 2542 alongside the address evidence, because related applications and certificates usually require place-of-business documents as well.
What is the risk if a court document arrives and nobody tells us?
You can miss a statutory deadline and lose the chance to defend a claim or contest an assessment. Contract for a defined notification window and keep the provider's proof of notification.
How much does the address document work cost?
It depends on document volume, translation languages and whether certification for overseas use is needed. Contact our team by phone, LINE or email for a written quotation.
Answers written from real files: what to prepare, who certifies what, and business-day estimates.
Yes, provided the address genuinely exists, can be inspected, and the property owner gives written consent. You will need the consent letter plus proof of ownership or a lease. Be careful: the Revenue Department and the Department of Employment may inspect in person, so if the address will also support VAT registration or work permits, keep a real workspace and clear company signage.
It is harder than company registration. Revenue officers usually inspect the premises and want photographs of the signage, a map and evidence that the space is actually used. A mail-handling-only package with no desk and no staff on site is frequently rejected. Choose a package that provides genuine occupied space and allows officers to inspect during business hours.
It can, provided the premises genuinely exist, can be inspected and the owner has given written consent to their use. The Revenue Department commonly inspects the place of business before approving, so a visible company sign, someone reachable during business hours and documented rights to occupy the space all matter. Inspections that find no sign of activity usually stall or refuse the application.
At minimum the Department of Business Development for the registration change, the Revenue Department for both corporate income tax and VAT records, the Social Security Office, and the company's banks and principal counterparties. Any sector licence must be updated with its issuing authority. Do the whole set at once, otherwise official correspondence keeps arriving at the former address.
In practice the Revenue Department inspects the premises, asking for photographs of the signage, a map, and evidence of the right to occupy such as a lease and a landlord consent letter. An address that only forwards mail, with no usable workspace, generally fails that inspection. If you use such a service, choose a provider with real occupiable space that will issue the full occupancy paperwork.
At minimum: the Department of Business Development for the registered address change, the Revenue Department for both VAT and taxpayer records, the Social Security Office if you have employees, and your banks and contracting parties. Any sector licence showing the old address must be amended too, otherwise documents issued afterwards will be internally inconsistent.
Often not on its own. Work permit assessments look at whether the employer has a genuine workplace with capacity for the role, and site inspections do occur. A registered address that only forwards mail creates a visible gap between the declared workplace and reality. Where a permit is planned, choose a serviced office with an inspectable, signed workspace.
Usually the house registration book for the premises, the owner's identification, a written consent letter permitting use of the address as the company's registered office, a location map, and photographs showing the company name displayed at the entrance. Where the premises are leased, the lease is added. Officers compare the photographs against the map before approving.
It is common in serviced office buildings, provided each company has its own signage and a room or desk that is genuinely allocated to it. Risk rises when many unrelated companies share one small unit with no visible presence, as that pattern attracts scrutiny during VAT registration and can lead to deregistration of the address later.
In practice the Revenue Department inspects the premises before approving, so there must be usable space with signage, a lease and the owner's written consent to use the address, plus interior and exterior photographs. An address that only forwards mail, with nowhere for an officer to inspect, is commonly refused or delayed behind repeated document requests.
Generally it is difficult, because the assessment looks at the real workplace, the number of Thai staff and whether the space suits the declared business. Officers may inspect without notice, and finding only a mail counter tends to stall the application. A genuine workspace with an assigned desk, and the floor or room number stated in the filing, is the stable route.
File the change of registered office with the Department of Business Development, notify the Revenue Department for both corporate income tax and VAT, notify the Social Security Office, and update banks, counterparties and any sector licensing body. If a foreign employee holds a work permit, the workplace on that permit must be amended too, otherwise the work is performed at an unauthorised location.
Registration is usually possible, but work-permit processing and premises inspection are a separate matter. Officers commonly attend to photograph signage and a real workstation and to interview a representative. A pure mail-forwarding address risks refusal. The safe route is space you genuinely have the right to use, backed by a lease and photographic evidence. We assess that exposure before filing.
At minimum the Department of Business Development, the Revenue Department for the tax address shown on tax invoices, the Social Security Office, the banks, and any sector regulator. With foreign employees, the work-permit file and the immigration address record must be updated too. The item most often forgotten is the address on tax invoices, which blocks counterparties from claiming input tax.
Yes, provided the provider gives written consent and the premises are genuinely verifiable. You will normally need a consent letter, the house registration or title evidence, and the owner's ID. The risk is that some authorities and banks conduct site visits; a pure mail-forwarding box is often refused. We assess that exposure before you commit to a provider.
Already-certified documents keep their status, but any new submission will usually attract a request for a current affidavit showing the new address — which means a fresh translation and certification of that set. Where possible, align the address change with your overseas filing calendar. We sequence both so the same pack is not certified twice within weeks.
It can, provided the provider gives written consent and the premises can actually be inspected. You need a letter of consent to use the address, evidence of ownership or the lease, and a location map. The caution is that some processes, such as VAT registration or sector-specific licences, involve a site visit and may reject an address with no real working space. We assess that risk before you commit, not after a refusal.
Register the change of registered office with the Department of Business Development, notify the Revenue Department and the Social Security Office, and inform any sector licensing authority plus the immigration and work-permit files of foreign staff. If certified company documents are still in use abroad, issue fresh certificates after the move. We sequence the notifications so they do not collide with your tax filing cycle.
It depends on whether the address can be inspected and evidenced: a lease, a landlord consent letter, and visible signage are typically expected. A mail-handling address with no inspectable space is where questions start. We assess the address against those expectations first and recommend an arrangement that can actually survive an inspection.
The company affidavit, VAT registration, bank records, social security records, and any contract that recites the address. If you employ foreign staff, the employer address held by immigration must be updated too. Partial updates leave later documents contradicting each other. We work through an authority-by-authority checklist and close every item.
The difference appears when an officer inspects the premises. A virtual office can support registration if the provider issues consent to use the address and holds proof of rights over the building. But some steps — VAT registration and certain licences — may involve an officer wanting to see actual working space and signage. We usually recommend a package that includes a real desk you can use on inspection day.
Registered address change at the Department of Business Development, the Revenue Department for both VAT registration and taxpayer records, social security, every bank where you hold an account, and your tax invoice stationery. If you employ foreign staff, documents referencing the office address need updating too. Missing one point usually surfaces later as a mismatch at filing time, so we run it as a single checklist.
The Revenue Department inspects the declared premises and expects a real, identifiable place of business with signage and a lease or consent letter from the owner. A pure mail-forwarding address usually fails that inspection. A serviced office with a dedicated, inspectable space and a proper lease normally succeeds. Decide this before signing the address agreement, because changing a registered address after a failed inspection restarts the process.
Ask for a lease or sublease naming the company, a consent letter from the property owner permitting registration at the address, a copy of the owner's title document or house registration, and the owner's identification as required for filings. Also agree how official mail is handled and how quickly it is forwarded. Missed correspondence from the Revenue Department or the registrar is the practical risk of any shared address arrangement.
Work authorisation is assessed on whether a genuine workplace exists for the role, and inspections do happen. A shared address with no allocated workspace makes that assessment difficult regardless of how well the company is otherwise documented. If a foreign employee is part of the plan, treat the workplace decision as part of the immigration strategy rather than as an office-cost decision taken separately by the finance team.
The usual triggers are the first employee who needs a desk daily, the first VAT or work-permit inspection, and the first customer contract that requires an on-site audit. Any one of them turns the address into an operational question rather than an administrative one. Plan the move at the trigger, not after a rejection, because a registered-address change generates its own filings and updated affidavits for banks and counterparties.

What foreign tax authorities and banks actually ask for, how Thai tax documents are certified for use abroad, and where the process usually stalls.
The basic test in the Revenue Code is presence in Thailand for an aggregate of 180 days in a tax year. How days are counted and how foreign-sourced income is treated follow Revenue Department practice, which has been updated in recent years. Confirm your own position with the Revenue Department or your accountant before filing anything abroad.
It is issued by the Revenue Department and shown to a foreign tax authority to claim relief under a double tax agreement — typically a reduced withholding rate on dividends, interest or royalties. Foreign payers usually want the latest year and sometimes ask for consular legalisation on top. Ask the recipient exactly which form they need.
Usually yes. The receiving body normally wants a certified English translation, and many countries also require legalisation by the Department of Consular Affairs followed by their own embassy. The documents seen most often are the residence certificate, tax payment receipts, filed returns and an employer's letter.
For the paperwork, yes. Once the Apostille Convention enters into force for Thailand on 28 February 2027, documents used in another contracting state carry a single apostille instead of a further embassy step. The substance of treaty relief does not change — that still depends on the specific treaty article and the foreign authority's assessment.
Usually the latest company affidavit from the Department of Business Development, the shareholder list, filed financial statements and the relevant board or shareholder resolutions. Where a director signs a statement of fact, a notarial services attorney can authenticate that signature; the document is then translated, certified and put through the legalisation chain the recipient prescribes.
We own the document and certification side — the correct route, in the correct order — and coordinate with your accountant or tax adviser. We do not guarantee any tax authority's decision, and we do not recommend filing before the treaty article has been checked. Have our team review the document set first by phone, LINE or email.
